Privacy policy

This page has two policies: our privacy policy, and our sexual harassment & safeguarding policy. Use the tabs above to switch between them.

This policy explains what personal information Boreham Wood Radio collects, why we collect it, and what your rights are.

Last updated: 6 November 2026

Who we are

Boreham Wood Radio (“BWR”, “we”) is run by Boreham Wood & Elstree Community Radio Ltd, a company limited by guarantee (company number 14859665), registered at 52 Ripon Way, Boreham Wood, Herts WD6 2HS.

We decide how the information described here is used, which makes us the “controller” under UK data protection law. If you have any questions, email bwoodradio@gmail.com.

What we collect and why

Messages you send us: when you use our contact form or email us, we keep your name, email address and message so we can reply. Legal basis: our legitimate interest in answering your enquiry.

Messages to the studio: if you message the studio during a show, the presenter may read out your first name and message on air. If you’d rather they didn’t, just say so in your message. Legal basis: legitimate interests (making live, interactive programmes).

Volunteers: if you volunteer with us, we keep your contact details, availability and training records so we can organise the station. Legal basis: legitimate interests (running the station).

Events, interviews and podcasts: if you send us an event or take part in an interview or podcast, we use the details you give us, and the recording, to share it on air, on our website and as a podcast. Legal basis: your consent, which you can withdraw at any time.

Advertisers and sponsors: we keep business contact details and records of what we’ve agreed and invoiced. Legal basis: our contract with you, and our legal duty to keep financial records.

Recordings of our programmes: Ofcom requires us to keep a recording of every programme for 42 days. If you take part in a programme, your voice will be in that recording. Legal basis: legal obligation.

Our website: our website runs on Wix, which uses cookies to make the site work and keep it secure. We also count visits to the site, such as how many people visit each page, but we only use the totals, for our audience figures. We don’t use them to identify you, and we don’t use advertising or marketing cookies. When you first visit the site, a banner lets you accept or decline any cookies that are not needed to run it. Legal basis: legitimate interests (running the website and understanding our audience).

Who we share it with

We never sell your information. We only share it with the services we use to run the station, such as Wix (our website and forms) and Google (our email and spreadsheets), which handle it on our behalf, or where the law requires us to, for example with Ofcom.

Some of these services may store information outside the UK. Where they do, they use safeguards approved under UK law.

How long we keep it

  • Messages and enquiries: 12 months after we last hear from you, unless they become part of something we need to keep for longer, such as a volunteering application, an advertising agreement or a complaint

  • Volunteer records: while you volunteer, and for 2 years after you stop

  • Advertising and financial records: 6 years, to meet tax and accounting rules

  • Programme recordings: 42 days, unless we need them to deal with a complaint

  • Podcasts and published interviews: until you ask us to remove them

Your rights

You can ask us to:

  • give you a copy of the information we hold about you

  • correct anything that’s wrong

  • delete your information

  • stop or limit how we use it

  • stop using it where you gave us your consent

Email bwoodradio@gmail.com and we’ll reply within one month.

Children and young people

If you’re under 13, please ask a parent or carer before sending us your details. When we work with schools and youth groups, we ask a parent or carer for permission before recording anyone under 18.

Questions and complaints

If you’re unhappy with how we’ve handled your information, please tell us first at bwoodradio@gmail.com. You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.

We’ll update this page if anything changes.
